Responsibilities & Routines
Being a workstudy is important in helping to keep the D&I labs up and running. Therefore, there are certain responsibilities that all workstudies must uphold.
Daily Responsibilities
- COME TO WORK ON TIME
Nobody likes it when you are late. If you are going to be late, please call D&I and let someone know. When you do arrive, let someone know that you are here. If you are more than 15 minutes late for 3 times in one term, D&I staff will re-evaluate your suitability for the position. If you "no show" for a shift, your position will be terminated. - CHECK ALL PRINTERS FOR FULL PAPER SUPPLY
Go to all the labs within Nesbitt and make sure that all of the laser printers have a sufficient amounts of paper in the trays. If you do not, you will end up having to run back and forth putting more paper in when students come to notify you that there is none left. - DO DUTIES ASSIGNED TO YOU BY ANY OF THE D&I STAFF BEFORE STARTING ANY OF YOUR OWN WORK
There is usually a lot involved with maintaining the labs, so you will probably get assigned jobs on the day of your shift. Please complete these tasks prior to any of your personal work since you are on duty. - TAKE CARE OF ANY TASKS REQUESTED BY STUDENTS OR FACULTY BEFORE DOING YOUR OWN WORK
You are on duty and this is a job. You are supposed to help students or faculty if they have requests. If you are unsure on how to do something, go to the D&I office in 213 and ask for help. Make sure to note how to do the task so you do not have to ask for assistance again. - CHECK THE LABS
Check each lab every hour to make sure they are in order. It is not your job to clean up after students, but we do not want the labs to look in disarray either. If we respect the space, the students will respect the space. - STAY IN THE WORKSTUDY OFFICE IF YOU ARE THE ONLY ONE ON DUTY OR USE THE DOOR SIGN TO NOTIFY OTHERS OF WHERE YOU WILL BE
If you are the only workstudy on duty, please try to remain in the office unless you have tasks to be done in other labs. If you have to leave, use the rotating sign on the door to indicate what room you will be in so others can find you. - RECORD ALL TRANSACTIONS YOU MAKE FOR THE D&I STORE
We need to keep the balance of all transactions made for printing or purchases for the D&I store, so please write down all the transations you make in the Blue Binder designated for such, located in the workstudy office. - KEEP TRACK OF GD INK INVENTORY
Tuesday is inventory for GD. All used cartriges get placed in their appropriate recycling box.
Nightly Responsibilities
- DO NOT ALLOW ANYONE TO STAY IN THE LAB AFTER HOURS IF THEY ARE NOT ON THE LATE LIST
As a workstudy, you do NOT have the authority to let students stay in the labs if they have not signed up to be on the late list. Before leaving at night, go through the labs and check with individuals to make sure they are on the list. If they are not, politely tell them to leave. Having students adhere to the late list policy is the best way to monitor who is using the labs when we are not around. - WORKSTUDIES CLOSING THE LABS ARE REQUIRED TO FILL OUT THE CLOSING CHECKLIST BEFORE LEAVING AT NIGHT
Please fill out the checklists that can be found under the Checklists in the Workstudies section of this website before closing the labs at night. Allow yourself enough time before the end of your shift to properly fill out the form since things will be checked in the morning. - NO D&I EQUIPMENT SHOULD BE LEFT CHECKED OUT EBFORE CLOSING AT NIGHT
Make sure all equipment is returned before closing up the labs, especially our projectors. If you know there is a setup still checked out, go to the room where it is set up and retrieve it. - LOCK UP AND SHUT DOWN ALL LABS EXCEPT FOR 514 & 322
Make sure there is enough paper for the next day. Let's save some energy too and shut off the lights! - DO NOT ALLOW COLOR PLOTTING OR PRINTING IN THE LAST 1/2 HOUR OF THE LAST SHIFT IN THE EVENING
Unless you intend to stay with that person, do NOT start a print job when it will take longer than you are required to stay.
Mandatory Morning Routine
- OPEN ALL THE FOLLOWING LABS
- All the labs on the second floor: 214, 215, 222, 223, 224
- Labs on the third floor: 316, 322
- Labs on the fourth floor: 406
- Labs on the fifth floor: 514
- Labs on the sixth floor: 618C
- CHECK PAPER LEVELS IN ALL OF THE PRINTERS AND RESTOCK THEM IN THEY ARE RUNNING LOW
- REORGANIZE ALL COMPUTERS AND EQUIPMENT. MAKE SURE EACH STATION IS IN ORDER
This is a visual cue that let's everyone know the labs have been opened by a D&I staff member - REPORT TO D&I TO LET THEM KNOW THE STATUS OF THE LABS AND THAT YOU HAVE FINISHED THE MORNING ROUTINE
Mandatory Closing Routine
Make sure to fill out the Checklists found under the Workstudies section of this website
- MAKE SURE ANY STUDENTS STAYING LATE IN THE GRAPHIC DESIGN LABS HAVE THEIR NAMES ON THE LATE LIST
Any students whose names are not on the late list for that night are NOT ALLOWED to remain in the labs after you close them. - TAKE THE NAMES OF THE STUDENTS STAYING LATE IN ANY OF THE LABS
- NOTE THE NUMBER OF SCANNERS AND PRINTERS IN ALL OF THE GRAPHIC DESIGN LABS ON THE SECOND FLOOR
- PICK UP ANY TRASH, SHUT DOWN COMPUTERS, TURN OFF ALL LIGHTS, AND LOCK THE DOORS FOR ALL LABS NOT IN USE BY STUDENTS ON LATE LISTS
Make sure the window in 514 is CLOSED and LOCKED. - MAKE SURE ALL SETUPS ARE PUT AWAY Check calendar to make certain all setups that were checked out are returned and stored away
- TURN OFF THE COLOR PRINTER
- CHECK THE BALANCE OF THE D&I store
