Collection Submission Guidelines

The following guidelines have been created to help facilitate acquisition of digital material in an organized and efficient way. Our team has consulted librarians and digital archivists to establish the "best practices" and standards for accepting collections into an archive that will be availale to a wide community. While we want to make as much material available as posible, we also want to maintain a database that has quality materials that meet a standard level of indexing to enhance search-ability of images.

If you are interested in submitting a collection to the Slide Library, please follow these standards when organizing your collection. We need to adhere to these collection standards so our database is accessible and utilized by as many users as possible.

MINIMUM NUMBER OF IMAGES PER COLLECTION: 50
Unfortunately, we are unable to accept collections that have less than 50 images.

Your slide images should be scanned and saved as follows:
Resolution: 2400
File Format: TIFF
Image Compression: None
Pixel Order: Interleaved
Byte Order: IBM PC
Please note: Each slide image file size will be roughly 23 MB. See Archiving Standards for more information.

Your images need to be indexed and saved in an Excel Indexing Spreadsheet as follows and you MUST fill in information for the following six attributes

We strongly encourage you to include as much information about the image as possible using the remaining attributes listed on the Excel spreadsheet to guide you. For a complete understanding of our slide indexing standards, please visit our Indexing page.
When you finish scanning and indexing your slides to our collection standards, feel free to copy your images and Excel spreadsheet to CD or DataDVD and submit them to the Slide Library Office for review. After your collection is reveiwed, we will contact you about the status of your collection.
