Space Allocation Committee

Policy for Assigning Office Space to Student Organizations in Greenawalt Student Development Center, Creese Student Center and MacAlister Hall

Overview/Goal

To provide all recognized student organizations an equal opportunity to obtain student organization office space. To accommodate as many student organization needs as possible in a fair, open, and objective manner. This policy defines procedures for initial requests as well as routine evaluations of assignments.

Guidelines for Office Space Assignments

Student organizations requesting assignment or re-assignment of office space must be recognized by the Office of Campus Activities. Student organizations requesting re-assignment or initial space assignment must demonstrate the following within the Space Allocation Application:

  1. Documented activities or programs which warrants office space (e.g. public contact, workspace files, equipment, phone)
  2. Documented activities or programs for the University student body
  3. Demonstration that the organization’s activities reflected by the organization’s mission, goals, and objectives
  4. Suitability of organizational functions and needs to available office space
  5. Ability to share space with other groups

Timeline

    1. The Space Allocation Committee will announce the student office space allocation process for the next fiscal year by [date TBD]
    2. Student organizations desiring new space or wishing to retain previously assigned space for the next year must file an application by May 2, 2008 with Campus Activities in 215 Creese (NOTE A. applications submitted after that date may be considered in a subsequent round of allocations. NOTE B. A waiting list will be maintained for any space which may become available throughout the year.)
    3. Organizations will be notified by June 9, 2008 whether or not they have received office space and/or storage space
    4. A student organization whose application for re-assignment has been denied must vacate the space by June 27, 2008
    5. Student organizations may move into their office and/or storage space on July 15, 2008

 

Procedures for Office Assignments

    1. Completely fill out the Space Allocation Application found on the website
    2. Turn in the application to Campus Activities in Creese 215
    3. Student organizations may contact Walter Parrish with questions at 215-895-6238
    4. Student organizations may be contacted if the Committee has any questions regarding their application
    5. The recommendation for the allocated office and storage space will be given by the Committee to the Director of Campus Activities and the Associate Director of Student Union Operations
    6. After the organizations are notified, student organizations receiving any type of space must submit a Term of Agreement within 2 weeks of assignment (NOTE A. the Term of Agreement can be found on the Space Allocation website. NOTE B. If the deadline is missed the assignment is subject to be forfeited.

The Board is comprised of representatives as follows:

    • Professional staff member of Campus Activities
    • Professional staff member of Student Union Operations
    • 1 Professional staff member of Division of Student Life
    • Student Building Manager Student Union Services
    • Representative from the Undergraduate Student Government Association
    • (3) full-time undergraduate students with GPA of 2.5 or above and chosen through an application process
