    Saving ’07 Documents to Share with pre-’07 versions of Office

    With the release of Office 2007, some new machines may come with trial or full versions of Office 2007 installed. If you choose to install and use Office 2007, those to whom you send attachments will not be able to open your documents unless they, too, are using Office 2007.  Therefore, you must save the files in a format that others can read. Unlike in previous versions of Office, the default Save option will only save files in Office 2007 format. While Office 2007 will open documents from previous versions, it will ask you if you wish to convert to Office ’07 upon opening. If you choose to convert the file and wish to share it with others, you will need to save a copy in 2003 format.

    IRT recommends the continued use of Office 2003 for now to best avoid these file issues. Office 2003 will continue to be available on all computers in the Korman BYOL lab and on the IRT software server; users need not purchase any new Office software for their machines. However, if you have already purchased Office 2007, you can follow these steps in order to save your files for use in previous Office format.

    Click the  “Office”  button located on the upper left of the program.

    Move the mouse over the “Save as” option and then select “Office 97-2003 Document.”

    Select your location and file name to complete the Save.

    How to tell if you’ve received an Office 2007 document: If the file’s extension ends in an “x”, it’s in 2007 format. For example; finalpaper.docx or spreadsheet.xlsx are Office ‘07.
