How to Request Department/Organization List Creation

Requests for the creation of mailing lists are sent to the Mass Mailing team at mailreq@drexel.edu. The request must include the following information:

  • Contact Person:
    The name of a contact person and his/her telephone number and email address. This individual will be contacted by the Mailing List team if any clarification is needed.

  • Mailing List Name:
    The preferred name of the mailing list. The optional naming convention for Drexel mailing lists includes the use of dashes ("-") and normally ends with "-l". A few examples include:

    • undergrads-announce-l
    • fraternity-events-l

If no name is specified, IRT can create a name based on what the list will be used for.

  • List Owner(s):
    The name and email address of the individual(s) who will manage the list. List owners should be individuals who are knowledgeable about using email and programs such as spreadsheets and text editors. They should also be knowledgeable in list management using ListServ. IRT members can offer ListServ training by request, but be sure to first review the List Manager's Survival Guide.

  • (Optional) Authorized Senders:
    Include the addresses of any individuals who will not be list owners, but who should have the ability to send messages to the list. Authorized senders are generally used with Broadcast lists.

  • The List Type:
    Please specify what kind of list you are requesting. Will it be Announcement (only list owners and authorized senders can send messages to the list), Private (only list owners, authorized senders, and subscribers can send messages to the list), or Public (anyone can send messages to the list – not recommended because of the risk of spam).

  • (Optional) List Moderation:
    If the list type is Announcement with multiple senders, Private, or Public, you can specify editors and/or moderators. Editors moderate messages, but can also manage lists like list owners. Moderators cannot manage lists, but can share the workload of message moderation.

  • Errors and Replies:
    In your request, state where you would like errors (including bounces and illegal aliases) and replies to be sent. Error messages are sent to list owners by default, but you can specify an email address. Replies can be sent back to the list, the message sender, or to a particular address, but only one address can fill this space.

  • Scope and Audience of the List:
    Please include the estimated number of subscribers, and the scope of the list (is the list stable, or will many more subscribers be added?).

    NOTE: IRT will NOT provide a list of subscribers for your list. While IRT can help you with the initial subscription of addresses to your list, provision of the list of addresses and subsequent list management functions are the responsibility of the list owner(s).
  • (Student Organizations Only) Verification of Recognition:
    If you are requesting list creation for a student organization, verification of organization recognition for the current academic year will need to be sough from the Office of Campus Activities prior to list creation. Please contact askoca@drexel.edu to receive approval for list creation, and forward that approval to the Mass Mailing team along with your request.
