Events Manager – Office of Protocol
Reports to: Director of Protocol, Institutional Advancement (IA)

Job Overview: Events Manager supporting events originating form the University’s Academic Unit (Office of the Provost) and Projects for the Office Institutional advancement. Position reports to the Director of Protocol for Institutional Advancement. The Events Manager will provide professional expertise in the planning and implementation of ad hoc events and functions; will work with the Provost, Deans and other members of the campus community to collaboratively plan high quality events and functions; will help to identify and facilitate discussion and decisions about issues affecting events; and will ensure that high standards, and/or university wide priorities are reflected in the planning and presentation of events. Individual will interact with diverse and distinguished guests, including: donors, friends of the University, faculty, staff, and students. Must assist with all fundraising, donor recognition, presidential house dinners, cultivation and stewardship events. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends. Must manage with initiative, competence, and have good judgment with an attitude of “whatever is necessary” to complete the job.
Essential Job Responsibility / Functions:
- Executes and Manages full event logistics for University Academic Unit (Provost Office) programs and Special Projects for Institutional Advancement throughout the year.
- Produces all timelines, agendas, letters, invitations, RSVP lists as well as other outgoing mail & documents to support events from invitation to completion.
- Coordinates, secures and recommends volunteer staff and support for all events.
- Implement and document standard operating procedures for all processes as they pertain to pre-event, event, and post event operations. Implement and document standard operating procedures for all processes as they pertain to pre-event, event, and post event operations.
- Manage and coordinate all functions as they pertain to working with catering (internal and external), university personnel (facilities, public safety, parking, etc) to ensure top level, efficient, and cost effective events.
- Develop and manage a comprehensive budget for events throughout the fiscal year. Maintains inventory of materials and resources for all events.
- Work closely and deliver updates to the Director of Protocol on a regular basis.
- Ability to develop trust and strong collaborative working relationships. Must demonstrate Strong communication skills, both oral and written; must be able to communicate effectively to a large/diverse audience, including senior administration, trustees, donors, prospects, and other University constituents.
- Strong knowledge of MS Office, inlcuding Word, Outlook, and Excel .

Knowledge, Skills, Experience:
Minimum of 2 years of events management experience: Bachelors Degree in business, marketing or related field or the equivalent progressive experience in hospitality or non-profit environment. . Strong Verbal and written communication skills on all platforms. Self starter, Able to work nights and weekends (estimated 10%). Proven skills: Exceptional attention to detail, management, budgetary and financial planning, written and verbal communication abilities and team player.
