Space Planning & Design Process

  1. Request any services needed for all construction, renovations, modifications or changes to existing facilities. Requests can be initiated by the Drexel University department by completing a Project Planning Request.
  2. Meet with university end-user to define the program requirements for any new or renovated space. Depending on the size and complexity of the request, documentation may be handled in-house, or in conjunction with one of our “on call” architects and engineers.
  3. Validate the accuracy of existing base plans or secure building plans for remote sites.
  4. Generate a schematic floor plan that incorporates all the programmatic needs as well as taking into account all code restrictions/requirements, such as those addressed in the Americans With Disabilities Act (ADA).
  5. Review the preliminary schematic plan with the requesting department to ensure that all the requirements and appropriate space plans have been captured in the plan.
  6. Generate design development options (as required) for all other project components, which could include finishes, furniture, equipment, etc., upon approval of the schematic plan.
  7. Create a Preliminary Budget Estimate (PBE) and project schedule for projects with estimates above $5,000. This package should include the Project Summary, Schematic Plan, Budget Estimate and other supporting information.
  8. Coordinate completion of construction documents.
  9. Generate a Request for Proposal (RFP) to accompany documents during the bidding process with general contractors.
  10. Review and Evaluate construction bids with Project & Construction Management and transfer project over to this office for design implementation and contractor management.

Project & Construction Management Process

  1. Award project to the selected general contractor; ensure all appropriate paperwork and contracts are in order prior to proceeding with any project.
  2. Ensure that the Preliminary Budget Estimate (PBE) has been approved and funding sources (e.g. fund/org or cost center) have been established and verified.
  3. Create a Project Workbook to track all project expenditures.
  4. Develop and implement a construction schedule with the contractors and subcontractors.
  5. Review schedule with end-users to ensure that all parties involved understand the impact and timing of the project.
  6. Coordinate day-to-day construction activities with building occupants and Operations & Maintenance to minimize disruptions to daily operations at facilities.
  7. Conduct periodic site visits to ensure project is on schedule and being completed according to design documents.
  8. Coordinate efforts with all vendors involved with the project.
  9. Coordinate and approve all purchases and expenditures associated with project.
  10. Coordinate in-house telecommunications and any external networking vendors involved in project.
  11. Assist with interim and final relocations of university end-users.
  12. Manage the project closeout process, including construction punchlist and reconciliation of project invoices.
