University Catering Policies and Procedures
To Ensure the Success of Your Event, Please Be Sure That You Have Completed the Following Steps.
Room Reservations
- In order to reserve your event space, tables, chairs if needed, contact Event Services located in the Creese Student Union Center, room 001 or by calling (215) 895-2520.
- You may also visit them on the web at www.drexel.edu/eventservices/ or email them at reservations@drexel.edu.
- Please have university account number at this time.
Food and Beverage Arrangements
- Arranging for catering services and establishing menus may be made by calling the Catering Office at 215-895-6934 or 215-895-0291. Please ask to have your call or email brought to the specific representative, if you are in the process of working with them on an event. Email us at cad@drexel.edu
- Please contact us as soon as possible to begin the planning process. We request that all orders be submitted at least five business days in advance.
- Final guest count is required three business days prior to your event. We are always prepared to serve 5% additional guests. Final charge will be based on guaranteed guest count or actual guest count, which ever is larger.
- Catering orders or cancellations received less than three full business days prior to an event may be subject to additional charges of total bill.
Handling and Serving Alcohol
- Catering is not licensed to purchase alcoholic beverages. However, we will be pleased to serve any beer and wine for your event.
- We are not able to store these beverages due to lack of storage space and security. Please have your beverages delivered directly to the location of the event. We will have ample time to chill beer and white wine. All of the remaining bottles will be boxed for you at the end of the event. Proof of proper drinking age of guests must be verified and guaranteed by event host
- Please contact Event Services to receive an alcohol release form, which has to be approved by public safety before any alcohol can be served at the University. This form should be returned to Event Services seven to ten business days before the date of the event.
Billing
- Please have a University account number available when booking your event. We will not be able to process your order without it.
- Grant account numbers need approval by email from the Cost Administrator or PI of the grant. Orders can not be processed until approved.
- Your account will be billed within two to four weeks of the event date. If there are any questions regarding charges, please contact the catering sales office at (215) 895-6934.
Outside Caterers
If you feel that there is a special event or circumstance that warrants exemption of using Drexel Catering, please submit the appropriate request form. If you need kosher or ethnic food not available from Drexel Catering please print and submit the Catering Waiver Reguest Form – Dining Services. If you prefer not to use Drexel Catering for another reason please print and submit the Catering Policy Exception form. Please follow the instructions on the form for appropriate submittal. Completed forms must be submitted a minimum of 20 business days prior to the event, for consideration. Any department by-passing this process will find their external caterer not permitted on campus for the event.

Service Charges
We plan the staffing for your event based on number of guests, type of service, menu and location. If you require additional staff such as bartenders and servers, the following additional labor charges will be applied to your bill:
Labor charges are for a minimum of four hours with overtime charges thereafter.
