Introductory Period Performance Evaluation Instructions

 

Staff Annual Performance Evaluations

To initiate a new staff evaluation, access the online performance management system by logging in to DrexelOne and following these steps:

  1. Log in to DrexelOne
  2. Select the Employees tab
  3. Select BannerWeb Services for College of Medicine Employees
  4. Select Employee Information
  5. Select Performance Management

Please make sure that pop-ups are enabled.  If you select the Performance Management link and only see a blank screen, use the following instructions to enable the pop-ups:

  1. Click on the bar that appears under the URL field on the browser and select Always Allow Pop-ups from this Site. 
  2. Select the Performance Management link again.  

If you have the Google toolbar, select the (1)Pop-ups block icon in the toolbar.  Select the Performance Management link again.

Please use the following guidelines for the annual performance management process:

January

Create an Evaluation for Each Employee in the Planning Phase

  1. Log in to HRSmart through DrexelOne
  2. Select Manager Menu
  3. Select My Employee Evaluations
  4. Select the green “plus” symbol in the Actions column next to the employee name
  5. Select the “Create This Evaluation” button

Set or Review Goals set by Employees in the Planning Phase; discuss performance and development goals with each employee and determine who will input goals into the system

  1. Log in to HRSmart through DrexelOne
  2. Select Manager Menu
  3. Select My Employee Evaluations
  4. Select  in the Planning phase column, per employee
  5. Review, edit or add Performance Goals and Development Goals by inputting Goal Name and SMART Goal description for each goal
  6. Select the “Save” button on each tab
  7. Select the Overall Evaluation of Performance tab to review the evaluation rating definitions for goals, competencies and overall performance

Enter SMART goals discussed with your manager in the Planning Phase; you will receive an email from the system when your manager has launched the performance evaluation document

  1. Log in to HRSmart through DrexelOne
  2. Select Employee Menu
  3. Select My Evaluations
  4. Per each tab, complete steps 5-8
  5. Enter Goal Name and SMART Goal description for each Performance Goal or Development Goal
  6. Select  per goal if you wish to add notes at this time
  7. Enter Planning notes in the text box
  8. Select the “Save” button
  9. Select the Overall Evaluation of Performance tab to review the evaluation rating definitions for goals, competencies and overall performance

February – October

Enter Performance Notes in the Planning Phase to reflect the performance discussions you have with the employee

  1. Log in to HRSmart through DrexelOne
  2. Select Manager Menu
  3. Select My Employee Evaluations
  4. Select in the Planning phase column, per employee
  5. Per each tab, complete steps 6-8
  6. Select per goal or competency
  7. Enter Performance notes in the text box; select the audience who can view those notes
  8. Select the “Save” button

Enter Notes in the Planning Phase about your performance as you receive feedback and achieve milestones

  1. Log in to HRSmart through DrexelOne
  2. Select Employee Menu
  3. Select My Evaluations
  4. Per each tab, complete steps 5-7
  5. Select  per goal or competency
  6. Enter Performance notes in the text box; select the audience who can view those notes
  7. Select the “Save” button
  8. Select the Overall Evaluation of Performance tab to review the evaluation rating definitions for goals, competencies and overall performance

October-November

Move the performance evaluation document to the Assessment phase for each of your staff employees by following these steps:

  1. Log in to HRSmart through DrexelOne
  2. Select My Employee Evaluations under Manager Menu
  3. Select  in the Actions column for each of your employees
  4. Once they finish their self assessment, they will submit the evaluation to you, and then you can evaluate their goals and competencies following the steps below.

Evaluate Performance in the Assessment Phase

  1. Log in to HRSmart through DrexelOne
  2. Select Manager Menu
  3. Select My Employee Evaluations
  4. Select  in the Assessment phase, per employee
  5. Per each tab, complete steps 6-9
  6. Select  per goal or competency to review notes
  7. Select the Evaluate button, per goal or competency
  8. Enter comments describing the accomplishment of the goal or demonstration of the competency
  9. Using the scale provided, select a rating and then select “Evaluate”
  10. Repeat 6-9 for each goal or competency
  11. Select the Overall Evaluation of Performance tab
  12. Select an Overall Rating
  13. Select the “Submit Evaluation” button ONLY AFTER THE EVALUATION IS FINAL AND HAS BEEN APPROVED BY ALL REVIEWERS; be sure to meet with the employee and discuss the evaluation while in this phase

Evaluate your Performance in the Assessment Phase; you will receive an email from the system when your manager has moved your performance evaluation document to the Assessment Phase

  1. Log in to HRSmart through DrexelOne
  2. Select Employee Menu
  3. Select My Evaluations
  4. Per each tab, complete steps 5-8
  5. Select  per goal or competency to review notes
  6. Select the Evaluate button, per goal or competency
  7. Enter comments describing the accomplishment of the goal or demonstration of the competency
  8. Using the scale provided, select a rating and then Select “Evaluate”
  9. Repeat 5-8 for each goal or competency
  10. Select the Overall Evaluation of Performance tab
  11. Select the “Submit Evaluation” button
  12. Use this input in your performance discussion with your manager

By mid-November

Move the performance evaluation document to the Review phase after you have discussed performance with each of your staff employees by following these steps:

  1. Log in to HRSmart through DrexelOne
  2. Select My Employee Evaluations under Manager Menu
  3. Select  in the Actions column for each of your employees

Sign the Evaluation in the Review Phase

  1. Log in to HRSmart through DrexelOne
  2. Select Manager Menu
  3. Select My Employee Evaluations
  4. Select  in the Review phase, per employee
  5. Select the Overall Evaluation of Performance tab
  6. Enter your Drexel userid
  7. Select the “Submit Signature” button

Sign the Evaluation in the Review Phase; you will receive an email from the system when your manager has moved your performance evaluation document to this phase.  This document will reflect the evaluation you have discussed with your manager.

  1. Log in to HRSmart through DrexelOne
  2. Select Employee Menu
  3. Select My Evaluations
  4. Select the Overall Evaluation of Performance tab
  5. Enter your Drexel userid
  6. Select the “Submit Signature” button
