    Class 101

    Drexel University's voice mail system allows subscribers to send, receive, forward, and store voice messages. All student residence halls have access to voice mail. You are provided with one mailbox per phone number. Most rooms house two students. You share a phone number, but have your own voicemail box.     Basic Operations

    Press 1 for...:

    If the your name isn't correct when you receive phone calls or pronunced incorrectly please inform the individuals at the front desk of you hall and they will assist you.

    Find out if I have messages:

    When you pick up the receiver, you will hear a stuttering dial tone if you have messages waiting for you in your mailbox.

    Log in & check messages:

    To listen to your voice messages you must log in to voicemail. Lift the handset then dial x7500. When you are off-campus, dial 215-553-7500. The voice prompt will instruct you:

    "Call Pilot Mail, mailbox?"

    Type the number of your mailbox (this is the last four digits of your phone number) followed by the # key. The voice prompt will ask you to enter your password:

    "Password?"

    Type in your seven-digit password, then press the # key.

    Note:
    At the beginning of the fall term mailboxes are given a default password that is the same as the number your phone number (ex.5537500#). It is strongly suggested that you change the password. Your new password must be a six-digit number. If you have forgotten your voice mail password or unable to access it, contact us at 215-895-2020 or e-mail us at telephone-request@drexel.edu to have it reset. Please be sure to include your name, extension number, building, voice mail box number and room number.

    Change my password:To the Contents!

    Your voice mail password should be changed on a regular basis. However, when you do change it, make it something that you can remember. To change your password, log in, and then press 84.

    The voice will prompt you to enter your new password. Passwords must be at least six-digits in length and no more than sixteen. When you have entered the password, press #. You will then be prompted to enter the new password again. This is to confirm that no mistakes were made during entry. When you have entered the password, press #.

    To finish the process, you must enter your old password. This is just a security check. Enter the old password, then press #. Your password is now changed.

    Record a greeting:

    When voice mail answers a call for you it will play a default message:

    "The person at x8947 is not available to take your call. Please leave a message after the tone."

    You should replace this message with your own greeting. You have the option of recording both an external and internal greeting. Your external greeting should be more formal as this is what callers from the outside will hear. Your internal greeting may consist of your name and department or tailored specific to your request. It is what on-campus callers hear.

    To record your internal greeting, log in, then:

    1. Press 822 to begin the process.
    2. If you wish to hear the current greeting, press 2.
    3. To delete the current greeting, press 76.
    4. When you are ready to record the new greeting, press 5 then begin speaking at the tone.
    5. When you are done, press # to stop recording.

    To record your external greeting, log in, then:

    1. Press 821 to begin the process.
    2. If you wish to hear the current greeting, press 2.
    3. To delete the current greeting, press 76.
    4. When you are ready to record the new greeting, press 5 then begin speaking at the tone.
    5. When you are done, press # to stop recording.

    You have an additional option of a temporary greeting. This is helpful for when you will be out due to vacation/sick/conferences.

    To record temporary greeting, log in, then:

    1. Press 823 to begin.
    2. When you are ready to record, press 5 then begin speaking at the tone.
    3. When you are done, press # to stop recording.
    4. Press 9 to set the expiry date. When setting the expiry date enter month followed by #, then day followed by #, then time followed by time, then 1 for AM and 2 for PM.
    5. Press 4 to exit. The greeting will automatically revert to your external/internal greetings at the date/time specified.

    Record a personal verification:To the Contents!

    In addition to your greetings, you should record a personal verification. With a personal verification, the messages that you leave in other mailboxes will be identified with your name and xin your own voice. Without verification, messages only identify your xnumber in a computerized voice.

    To record a personal verification, press 89. Press 5 to start recording then # to end the recording. Your personal verification should only contain your name, and possibly, your extension number.

    Listen to messages:

    When you first log in, voice mail will start to play your first new message.

    "Message 3 from an external number, received May 3rd at 12:28 pm."

    To play the message, press 2.

    During playback you can press the following key combinations to control message playback:

    1 To skip back

    3 To skip forward

    23 To play faster

    21 To play slower

    # To pause

    2 To continue

    When voice mail has finished playing the message, you will be told:

    "End of message."

    At this time you may press:

    76 To skip back

    6 To skip to next message

    4 To skip to previous message

    Note:
    In order to make optimal use of the disk space we have in the system, please delete messages after you have listened to them.

    Express messaging:To the Contents!

    Express messaging provides a quick way to leave messages for people without ringing their phones.

    To use express messaging on campus:

    1. Dial x7501.
    2. When prompted, enter the number of the voice mailbox that is to record the message then press the # key.
    3. Voice mail will then play the greeting for the mailbox.

    When off-campus dial 215-553-7501 and repeat step 2.


    Message Management

    Automatic message deletion:

    Once you have listened to a message, voice mail marks it as old. To avoid running out of message storage space, these old messages are automatically deleted after fifteen days. New messages, those you have never listened to, are never deleted.

    Restoring a deleted message:To the Contents!

    If you delete a message by mistake, you can restore it by pressing 76 again, provided that you have not yet logged off from voice mail. Once you disconnect from voice mail, deleted messages are irretrievable.

    Calling the sender of a message:

    After listening to messages from other Call Pilot users, you can call them directly from your voice mail. To call the sender, press 9. Voice mail will put itself on hold then call the sender.

    Replying to a message:

    After listening to messages from other Call Pilot users, you can leave a reply message in their mailbox without calling them directly.

    To leave a reply in someone's mailbox:

    1. Press 71 during or after the playback of their message.
    2. Press 5 when you are ready to record.
    3. When you have finished, press #.
    4. To send the message, press 79.

    Note:
    If you change your mind and decide to not leave the message, press 76 to delete your relay.

    Note:
    If you do not press 79, the message will not be sent to the other party and will remain in your own mailbox.

    Forwarding a message:To the Contents!

    You can forward a voice message to any other Call Pilot mailbox. When doing so you should also record an introduction so that the recipient of the message knows why you have sent it to him or her.

    To forward a message:

    1. Press 73.
    2. The system will prompt you to enter the number of the mailbox you want the message sent to followed by the # sign.
    3. If you wish to forward the message to multiple mailboxes, enter another mailbox number followed by #.
    4. When you have entered the last mailbox and #, just press # again to indicate you are done.
    5. You can now record an instruction by pressing 5 when you are ready to speak and # when you are done.
    6. To send the message, press 79.

    Note:
    If you change your mind and decide to not forward the message, press 76 to delete it. If you do not press 79, the message will not be sent & will remain in your own mailbox.

    Mailbox security & maintenance:

    The voice mail system is designed to prevent unauthorized access to your mailbox. If there are several repeated invalid attempts to access your mailbox, the system will lock the mailbox. Incoming calls are still answered and the messages are recorded, but no one can log in, even with correct password, until access is restored. If you believe that your mailbox has been locked out, contact us at 215-895-2020 or e-mail us at telephone-request@drexel.edu.
